Overview

The privacy of your Personal Information is important to Raise Our Voice Australia (‘ROVA’). This policy explains how we collect, use, store and disclose your Personal Information. Any information collected when you use by ROVA will be handled in line with this privacy policy and will not be disclosed or distributed further without your consent.

What is ‘Personal Information’ and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information ROVA collects include names, addresses, email addresses, and phone numbers.

When you interact with ROVA we will only ask you for Personal Information that we require to be able deliver our services and programs. The information we collect from you may vary depending on how you interact with us – we have detailed this in the ‘What happens to my Personal Information’ section below.

When we collect Personal Information, we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

We may collect Personal Information from you via telephone, correspondence, interviews, and from our website. The personal information we may collect includes your name, age, address, telephone number and email address. 

ROVA may, at times, collect information or opinion about your racial or ethnic origin, political opinions, membership of a political association (amongst other things). This is ‘Sensitive Information’ and will be handled in line with this privacy policy.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

What happens to my Personal Information?

ROVA works with third-party platforms and service providers in order to provide our programs and services.

We sometimes use third-party services to collect, process and store your Personal Information such as Google Drive, Google Forms, Mailchimp, Typeform, and event registration platforms. From time to time, we may also share your Personal Information with our partner organisations to deliver specific services and programs.

We may occasionally hire other companies to provide services on our behalf, including but not limited to handling customer support enquiries, processing transactions, or running programs. Only the Personal Information needed to deliver the service will be provided to these companies.

Please note that in some instances your Personal Information may be transferred outside of Australia for storage and processing in offsite server locations.

If you fill out a form, sign up to our mailing list, or participate in a ROVA program

ROVA may also collects other Personal Information that you choose to give provide us with, or which may be required to access a particular service (such as a ROVA training course or program). This includes information collected via telephone, correspondence, online forms, and learning modules, events and training registration, social media comments, or when subscribing to our mailing list. For example, this may include demographic information (such as name, age, location, and gender identity), as well as contact details (such as email, phone number, address), and comments, and, where necessary, payment details. Where necessary, and with your consent, ROVA may also collect your Sensitive Information (such as ethnic origin, political opinions, membership of a political association).

When you provide Personal Information to us via one of these services, we will only use that information for the purpose for which you provided it to us or where required or authorised by law. If you sign up to our mailing list, you can opt out of further contact from us at any time.

 When you visit ROVA’s website

When you visit raiseourvoiceaustralia.com we collect some information from you to understand how people interact with raiseourvoiceaustralia.com. This information is used for internal purposes only, for understanding how people interact with our website. 

ROVA uses Google Fonts, as well as Google Analytics in order to understand how people interact with raiseourvoiceaustralia.com.

When we request your personal information, we will identify which information is necessary and which information may be provided at your option. If you choose not to supply any of the optional information we request, our ability to assist you may be limited.

Unfortunately, we are unable to control what other websites are doing with your information, so this policy does not apply to any external websites that are linked on raiseourvoiceaustralia.com. We are not responsible for the privacy practices or content of external websites.

If you contact us via social media or email

We use social media and email to communicate with our ROVA community and the public. In some circumstances we may collect Personal Information from you via these channels. For example, if you send us a direct message or an email, we may need to collect some information in order to be able to contact you, such as your name and contact details. Any information we collect from you via social media and email will be handled in line with our general privacy policy. Please do not share excess Personal (including Sensitive Information) with ROVA via these channels.

In-person programs and events

ROVA may, from time to time, run in-person programs or events where people come together in-person. To make in-person events happen, we collect some Personal Information from you. We only collect Personal Information that is necessary to effectively and safely deliver our programs and events.  Our in-person events may be held online where geographic, public health or other constraints exist.

The information we collect may include contact details provided through the registration process (for example, name, phone number, email address), as well as when providing feedback following the program.

ROVA may take photos or videos at our in-person programs and events, however, you will be provided the opportunity to opt-out of any photography or recording.   

When you apply for our programs or to join the ROVA team

When you submit an application for a ROVA program or to join the ROVA team as a volunteer, we collect your Personal Information to be able to process your application. In addition to the information collected by visiting the website, this includes any information you provide to us through your application including your CV, cover letter, and where applicable a design or work sample.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances including to third parties where you consent to the use or disclosure; and where required or authorised by law.

To give you some examples, we might disclose Personal Information to:

  • our volunteers, employees and related bodies corporate;

  • third party service providers (including providers for the operation of our websites or in connection with providing our services to you);

  • professional advisers, dealers and agents;

  • payment systems operators (eg. merchants receiving card payments);

  • our sponsors or promoters of any program or competition that we conduct;

  • anyone to whom our assets or businesses (or any part of them) are transferred;

  • specific third parties authorised by you to receive information held by us; and/or

  • other persons, including government agencies, regulatory bodies and law enforcement agencies, or as required, authorised or permitted by law.

Quality, security, and deletion of Personal Information

If you think that any Personal Information we hold about you is inaccurate, please contact us and we will take reasonable steps to ensure that it is corrected.

We take all reasonable steps to protect your Personal Information from misuse, loss, unauthorised access, modification or exposure, however, we cannot guarantee the safety of your Personal Information.

All ROVA staff and volunteers are required by the terms of their engagement to maintain the confidentiality of your Personal Information. Access to your Personal Information is restricted to staff and volunteers whose role requires that information. Access to our file management systems, social media platforms and email is restricted through password protection.

We will take reasonable steps to destroy or de-identify your Personal Information when your personal information is no longer required for ROVA’s purposes.

Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

We will endeavour to provide you with the data within 30 days of receiving your request. We may incur costs in giving you that information, in which case we reserve the right to charge you a reasonable fee to cover those costs.

In order to protect your Personal Information, we may require identification from you before releasing the requested information.
